This privacy policy statement created by SGENCY, becomes effective as of January 1, 2021.

SGENCY You Privacy Commitment

SGENCY has been concerned with the privacy of customers and users. We only ask for the minimum amount of necessary information, compiling only what we believe is essential for doing business or for the specific transaction that corresponds. We inform the clients what information we have of them and we allow them to cancel their registration of specific commitments. The objective of this policy is to make explicit the information we collect about our customers and users, how we are going to use it and how we will not do it. Unfortunately, this policy is more extensive than we would like, but we must address all relevant cases unequivocally. We will try to keep the language as simple and direct as possible.

Scope of this privacy policy  

This privacy policy applies to all SGENCY websites that link to it. This also applies to the products and services provided by SGENCY through these websites, our mobile applications and the applications published by SGENCY in the SGENCY solutions catalog and in other third-party online solution catalogs. This privacy policy does not apply to our websites, products or services that have an independent privacy policy.

This privacy policy is divided into three parts:

Part I – Information that SGENCY collects and controls

In this part, the form is addressed that SGENCY collects and uses information about website visitors, potential customers, users of SGENCY products and services, and other individuals who communicate with SGENCY through forms or email addresses posted on our websites or linked to such sites.

Part II – Information that SGENCY processes on your behalf.

In this part, you address how SGENCY handles the data you submit when you use our products and services, or when you share personal or confidential information with us when requesting assistance to the client.

Part III – General

In this part, relevant topics for the Part is I and II, along with other general topics such as SGENCY’s security commitments and how we will inform you when we make changes to this privacy policy.

Part I – Information that SGENCY collects and controls  

What information SGENCY collects  

We collect information about you only if we need it for some legitimate purpose. SGENCY will have information about you only if (a) you provided the information yourself, (b) SGENCY collected the information automatically or (c) SGENCY obtained the information from a third party. Below, we describe the different scenarios that correspond to each of these three categories and the information collected in each one.

Information that you will provide us.

i. Account registration: when you register an account to access one or more of our services, we ask for information such as your name, contact number, email address, company name and country to complete the account registration process. You will also be asked to choose a unique username and password to access the created account. You can also provide us with more information such as your photo, time zone and language, but we do not need that information to register an account. After registering, you will have the option to choose a security question and an answer to that question: if you choose them, they will only be used when you reset your password.

ii. Event logs and other forms mailing: we record the information you send when (i) you register for an event, including webinars or face-to-face meetings, (ii) subscribe to our newsletter or any other mailing list, (iii) ) send a form to download a product, technical documentation or other material, (iv) participate in contests or answer surveys or (v) send a form to request customer assistance or communicate with SGENCY for any other reason.

iii. Payment processing: when you purchase something with us, we ask you to provide us with your name, contact information and credit card information or other payment account information. When you send your card information, we store the name and address of the cardholder, the expiration date and the last four digits of the credit card number. We do not store the full number of the credit card. For fast processing of future payments, if you have given us your approval, we can store your credit card information or other payment information in an encrypted format on the protected servers of our payment portal service providers.

iv. Testimonials: When you authorize us to post testimonials about our products and services on websites, we may include your name and other personal information in the testimonial. You will be given the opportunity to review and approve the testimony before publishing it. If you want to update or delete your testimony, you can contact us at 

v. Interactions with SGENCY: we may record, analyze and use your interactions with us, including email, telephone and chat conversations with our sales and customer service professionals to improve our interactions with you and other customers.

Information we collect automatically

i. Information on browsers, devices and servers: when you visit our websites, we collect information that web browsers, mobile devices and servers make available, such as Internet protocol address, browser type, language preference, time zone, the reference URL, the date and time of access, the operating system, the manufacturer of the mobile device and mobile network information. We include such information in our log files to understand more about visitors to our websites.

ii. Information about cookies and our own tracking technologies: we use temporary and permanent cookies to identify the users of our services and to improve the user experience. We embed unique identifiers in our downloadable products to track the use of the products. We also use cookies, beacons, tags, scripts and other similar technologies to identify visitors, track website navigation, gather demographic information about visitors and users, understand the effectiveness of campaigns by email and to a focused interaction for visitors and users by monitoring their activities on our websites. We also use local storage objects (LSO), such as HTML5, to store information and content preferences to provide certain features.

iii. Information on application records and mobile device analysis: we collect information about your use of our products, services and mobile applications from application records and local usage analysis tools, and we use that information to understand how your use and needs of your company can improve our products. This information includes clicks, trips, accessing features, time and frequency of access, errors generated, performance data, storage used, user settings and configurations, and devices used to access and their locations.

Information obtained from third parties

i. Registries through federated authentication service providers: you can log in to SGENCY services using federated providers of supported authentication services. These services will authenticate your identity and give you the option to share certain personal information with us, such as your name and email address.

ii. Recommendations: if someone has recommended any of our products or services through one of our recommendation programs, it is possible that this person has given us their name, email address and other personal information. You can contact us at to request that we remove your information from our database. If you provide us with information about another person or if another person gives us your information, we will only use that information for the specific reason for which it was provided to you.

iii. Information of our partners: if you contact one of our partners, or request a service with them or if you express your interest in any of our products or services, the partner may send your name, email address to SGENCY , company name and other information. If you register for an event sponsored by SGENCY or a SGENCY member, or if you attend an event, the event organizer may share your information with us. SGENCY, can also receive information about you from review sites if you comment on any of our products and services and from other third-party service providers engaged in the marketing of our products and services.

iv. Information from social networking sites and other publicly available sources: When you interact with us on social networking sites such as Facebook, Twitter, Google+, Instagram, LinkedIn through publications, comments, questions and other interactions, we may collect such publicly available information, including profile information, to connect with you, improve our products or better understand the reactions and problems of users. We must inform you that once this information is collected, you may remain with us even if you remove it from social networking sites. SGENCY may also add and update information about you from other publicly available sources.

  • To supervise and improve marketing campaigns and make suggestions relevant to the user.

Legal steps p for the collection and use of information  

Legal processing procedures applicable to SGENCY: if you are an individual in the European Economic Area (EEA), our legal basis for the collection and use of information depends on the personal information in question and the context in which we collect it. Most of our information gathering and processing activities are generally based on (i) a contractual need, (ii) one or more legitimate interests of SGENCY or a third party that are not voided by your data protection interests or (iii) ) Your consent. Sometimes, we will have a legal obligation to collect your information or we will need your personal information to protect your vital interests or those of another person.

Who we share your information with?  

We do not sell any personal information. We share your information only in the ways that are described in this privacy policy and only with parties that take appropriate measures of security and confidentiality.

Employees and independent contractors: SGENCY employees and independent contractors have access to the information contemplated in the Part I as needed. We require all employees and independent contractors to follow this privacy policy for the personal information we share with them.

Third-party service providers: we may need to share your personal information and aggregate or non-identifiable information with third-party service providers. those who interact, as partners, marketing and advertising partners, event organizers, web analytics providers and payment processors. These service providers are authorized to use your personal information only when necessary to provide us with these services.

Domain recorders: when registering a domain through SGENCY from domain name registrars, we share with them your name and contact information as Your physical address, email address and phone number according to the ICANN domain registration rules.

Partners: we may share your personal information with our authorized distribution partners in your region, solely for the purpose of communicating with you about the downloaded products or the registered services. We will give you an option to request that you stop working with that partner.

Application Developers: when you install or acquire an application developed by SGENCY, your name and email address will be shared with the developer of the application, so that you can interact directly with you as the provider of such application or service. SGENCY does not control the use that developers make of your personal information, which is based on their own privacy policies.

Your rights with respect to the information we maintain about you as a controller  

If you are in the European Economic Area (EEA), you have the following rights with respect to the information that SGENCY holds about you. SGENCY is committed to providing you with the same rights, no matter where you choose to live.

Access right: you have the right to access the categories of personal information we keep about you (and obtain a copy of them, if necessary), which includes the source of the information, the reason and period of processing and the people with whom the information is shared.

Right of rectification: you have the right to update the information we keep about you or to correct any inaccuracy. According to the reason why we use your information, you can tell us to add additional information about you in our database.

Elimination right: you have the right to request that we delete your personal information in certain circumstances, such as when it is no longer necessary for the purposes for which it was originally collected.

Right to processing restriction: you may also have the right to request that the use of your information be restricted in certain circumstances, such as when you object to our use of your data; however, we must verify if we have preponderant legal bases to use it.

Right to complain: you have the right to complain with the appropriate supervisory authority if You have a complaint about the way we collect, use or share your information. This right may not be available to you if there is no supervisory authority in charge of data protection in your country.

Information retention 

We retain your personal information for as long as necessary for the purposes set forth in this privacy policy. At times, we may retain your information for longer periods as allowed or required by law, for example, to maintain deletion lists, prevent abuses, if required in connection with a claim or a legal proceeding, to enforce our agreements, for tax or accounting reasons, or to comply with other legal obligations. We will also store the information securely and isolate it on backup discs to prevent it from being processed until the removal can be done.

Part II – Information that SGENCY processes on your behalf  

Information entrusted to SGENCY and its purpose

Information provided in relation to services: you may entrust to SGENCY information that you or your organization (“you”) control in connection with the use of our services or to request technical support for our products. This includes information related to your customers and employees (if you are a controller) or data that you keep and use on behalf of another person for a specific purpose, such as a customer to whom you provide services (if you are a processor). The data can be stored on our servers when you use our services, or transfer or share with us as part of a request for technical support or other services.

Information from mobile devices: when you decide to allow it, some of our mobile applications will have access to the camera, call history, contact information, photo library and other information stored on your mobile device. Our applications require such access to provide their services. Similarly, when you choose to provide access, location-based information is also collected for reasons including, but not limited to, locating nearby contacts or setting location-based reminders. This information will be shared exclusively with our allocation providers and will only be used for the allocation of user locations. You can disable the access that mobile applications have to this information at any time by editing the settings of your mobile device. The data stored on your mobile device and your location information to which mobile applications can access will be used in the context of the mobile application and will be transferred to your account and associated with it in the services (in which case, the data will be stored on our servers) or corresponding products (in which case, the data will remain with you, unless you share them with us.)

We provide you complete control of your service data by giving you the ability to (i) access your service data, (ii) share your service data through compatible third party integrations and (iii) request the export or removal of your service data.

Push notifications

If you enabled notifications in our mobile and desktop applications, we will send notifications through an push notification provider such as Apple Push Notification Service, Google Cloud Messaging, or Windows push notification services. You can manage your push notification preferences or disable these notifications by turning off notifications in the application or device settings.

Who we share the data with

SGENCY service and third party subprocessors: in order to provide services and technical support for our products , the contracting entity within SGENCY interacts with us and with partners or third parties.

Employees and independent contractors: we may provide access to your service data to our employees and individuals, who are independent contractors of SGENCY involved in the provision of services (collectively, our “employees”), so that they can (i) identify, analyze and resolve errors, (ii) manually verify the emails reported as spam to improve the detection of such emails or (iii) verify manually the scanned images that you send us to verify the accuracy of optical character recognition. We make sure that our employees’ access to their service data is restricted to certain people and that such access is recorded and audited. Our employees will also have access to the data you share conscientiously with us to provide technical support or to import data into our products or services. We communicate our privacy and security guidelines to our employees and impose strict privacy guarantees within SGENCY.

Retention of information

We keep the data in your account while you choose to use the services of SGENCY. Once you terminate your data you will be finally removed from the active database during the next cleanup.

Part III – General  

Personal information of children  

Our products and services are not directed to people under 16 years of age. SGENCY does not knowingly collect personal information from children under 16 years of age. If we are aware that a child under 16 years of age has provided us with personal information, we will take steps to eliminate that information. If you believe that a child under the age of 16 provided us with personal information, write to with the details and we will take the necessary steps to eliminate the information we have about that child.

How secure is your information In SGENCY  

In SGENCY, we take data security very seriously. That is why all information is stored under industry standards. We take steps to apply adequate administrative, technical and physical guarantees to prevent unauthorized access, use, modification, disclosure or destruction of the information that you entrust to us. International Communications and Transfers  

We share your personal information and service data within SGENCY. If you access or use our products and services or if, in any way, you provide us with personal information or service data, you consent to the processing, transfer and storage of your personal information or service data within the United States of America. America, the European Economic Area (EEA) and other countries where SGENCY or its suppliers operate. This transfer is subject to a collective agreement of the company, which is based on the contractual clauses of the model of the European Union Commission.

Requests for not following up (DNT)  

Some Internet browsers have active “Do not track” functions (DNT), which emit a signal (called DNT signal) to the websites you visit to indicate that you do not want to be followed up. Currently, there are no standards that determine what websites can or should do when they receive these signals. For now, we do not take action in response to these signals.

External links on our websites  

Some pages of our websites may contain links to websites that are not linked to this privacy policy. If you send your personal information to any of these third party sites, your personal information is governed by its own privacy policies. As a security measure, we recommend not sharing personal information with third parties, unless you have consulted their privacy policies and are sure of their privacy practices.

Blogs and forums  

We offer blogs and public access forums on our websites. Keep in mind that any information you provide on these blogs and forums can be used to send you unsolicited messages. We urge you to be prudent when disclosing personal information in our blogs and forums. SGENCY is not responsible for the personal information you choose to publicly disclose. It is possible that your publications and certain profile information will remain even after terminating your account or services with SGENCY. Social Media Widgets  

Our websites include social networking widgets, such as Facebook “like” buttons and ” tweet “of Twitter, which allow you to share articles and other information. These widgets can collect information such as your IP address and the pages on which you browse the website and can set a cookie so that widgets can work properly. Your interactions with these widgets are governed by the privacy policies of the companies that provide them.

Disclosures for compliance with legal obligations
